If you have any questions, don’t hesitate to reach out to the involved person. Before ending your shift, please take a moment to guide the person taking over and explain what needs to be done. If after 5 minutes past your shift the next volunteer has not arrived, you should inform the Manager Volunteers. Thank you for your support in keeping everything running smoothly!
What to do?
Guarding
No one can enter without a wristband, so kindly ask everyone to show theirs. The guest list provided includes everyone allowed in, even for a short time. If someone tries to enter without a wristband and isn’t on the list, please contact the Manager for guidance.
For security reasons, it’s very important that you don’t leave your post during your shift, unless the next person has already arrived. If you need to take a break or leave the area at any time, please ensure that at least one person remains at the entry desk.

Check-in
On Laptop 1 at the info desk, you’ll find a list of all registered participants. The file is called “Entry Desk”. When someone new without a wristband arrives at the venue:
If someone enters please:
- Welcome them warmly and find them in the registration file
- Inform them about their registration for the tournament.
- Let them know about any dietary preferences they’ve registered.
- Remind them of their volunteering shift.
- Give them a wristband and explain the different sides. (one side indicates you are open for anyone to ask you to dance, the other indicates that you’ll likely do the asking yourself)
- Give them their starting number and pins, let them know to use it both days
- Mark their name as present in the system on the laptop
Blinddate registration
On Laptop 2, you can match a lead and a follow for the T-Rex class (Fixed-partner tournament). This can be done until 0:00 on Friday night. The first person to arrive will be given instructions on how to do this on-site and can pass on the details to the next person.
Info desk
Throughout the weekend, participants will likely approach you with questions, because you are the infodesk! If you don’t know the answer, feel free to contact the Manager for help. We’ll also update the FAQ on the website during the weekend to keep everyone informed.
Volunteers assigned to cleaning shifts will come by the entry/infodesk to pick up their supplies. They’ll be stationed next to the entry desk.
Lost & Found
The info desk is also the place for lost and found. Upon retrieval, always ask the person to identify the item before handing it over.
